Event Submission Guidelines
This guide is for all organizers and participants to the Open Source AI Week to promote and find open source AI technology events and activities.

To ensure that all the events are relevant to the Open Source AI Week and foster an open and inclusive exchange, all submissions will be reviewed against the following guidelines:
  • Focus on Open Source AI: Events should center on open technologies within the AI ecosystem, including but not limited to open-source software and hardware for AI development, open standards, open data related to AI, and open benchmarks.
  • Bay Area Location & Timing: Events must take place in the Bay Area between October 18–26, 2025, during Open Source AI Week.
  • Commitment to Inclusion: Events, particularly those featuring speakers, should actively encourage diversity and be open to all attendees, regardless of race, gender, or background.
We reserve the right to refuse events that do not align with the aforementioned guidelines. Should you have any questions about the guidelines please feel free to contact us.

Benefits (What You Get):
  • Visibility on the official Open Source AI Week website and other promotional channels.
  • Exposure to new audiences through cross-promotion by other events.
  • Inclusion in media coverage and press releases.

Expectations (What You Give):
  • Feature Open Source AI Week on your event website with a link to the official site.
  • Promote Open Source AI Week in at least 4 emails and 6 social media posts.

Use of Branding

Once your event is approved as part of Open Source AI Week, you will receive permission to use the official Open Source AI Week branding in your promotions. This includes logos, banners, and other approved assets, which can help align your event with the larger initiative.

Please note that all company and individual logos provided by participating organizations remain the sole property of those organizations. These logos may not be used, shared, or reproduced without explicit permission from the respective organization. Your event can advertise as being a part of Open Source AI Week but cannot represent that other participants are endorsing or sponsoring your event unless otherwise agreed to by that party.
